How do you go about sharing files?
In some cases, we send files as email attachments or use a free cloud service, and here is an overview of how we do it.
Sending via SNS such as Messenger or LINE
E-mail and SNS are easy, but they cannot send large amounts of data due to the limited size of files that can be attached.
Also, social networking sites pose a high security risk and are prohibited or discouraged by many companies.
Sending through file transfer services
Send and receive files through web services.
Share files with others via the download URL generated after uploading the file.
Building a file server
File servers are the most commonly used method of file sharing. A dedicated file sharing server is set up on a network inside or outside the company, and file management software is installed to prepare a space for file sharing.
Detailed settings can be made to manage users and permissions within the organization, apply security policies, etc. However, with the dramatic increase in data volume in recent years, storage is being squeezed on a daily basis. However, file servers are not very good at increasing capacity, so it takes time and money to keep up with the increase in data volume. In addition, sharing with users outside the company requires operational ingenuity from a security perspective.
Build a NAS
NAS is called “Network Attached Storage” and is a dedicated storage device installed on a network.
There are many types of NAS, ranging from inexpensive products with 1TB of storage for less than 100 USD to more sophisticated and expensive products with all-flash storage. As NAS is basically an on-premise system built in-house, sharing with users outside the company is as difficult as with file servers or PCs.
Using cloud storage
Cloud storage is a file sharing space provided over the Internet as a service.
The biggest advantages are ease of use, high scalability, and high security. Because it is in the cloud, you can share files with users outside the company as flexibly as you share files inside the company. However, since it is used via the Internet, it is assumed that you are always connected to the Internet.
